Position description

The Coordinator provides administrative support to the International Relations Department Chairperson and faculty.  The successful applicant will be responsible for Department websites, meeting coordination, managing departmental accounts and providing assistance to students.


  1. Performs administrative support for the Department
    • Performs clerical and receptionist responsibilities
    • Manages office equipment and supplies
    • Assists with faculty searches
    • Assists newly hired faculty members with relocation details, correspondence and general assistance
    • Assists faculty in preparation for a teaching assignment
    • Assists Professors with room reservations, meeting schedules, travel arrangements, reimbursements, make-up exams, and other matters as needed.
  2. Provides assistance to students
    • Informs students of important dates, upcoming events, information concerning registration procedures, internships and job positions
    • Creates and maintains databases including student files
    • Acts as liaison with students studying abroad
    • Keeps track of requirements for majors
    • Co-ordinates make-up exams
    • Provides students with a warm, hospitable environment in Department
    • Counsels students regarding courses and other matters; students first contact when there is a crisis or problem
    • Supervises Work Study Students and Teaching Assistants
  3. Maintains departmental website and World Affairs Club CourseSites
    • Assists in design of website
    • Posts and updates materials on Department website
    • Assists faculty in using website including posting of course information
    • Assists faculty, World Affairs Club, students studying abroad or conducting internships, and alumni, in posting events and experiences
    • Reaches out to Alumni and students for contributions
  4. Manages Department financial accounts
    • Oversees account budgets including department accounts, endowment accounts and faculty research accounts 
    • Signing authorization on 8 accounts
  5. Arranges meetings
    • Makes arrangements for visiting speakers, meetings, conferences, and receptions
    • Selects refreshments and decorations and other related items
    • Plans and monitors room reservations and set-up and take-down facilities
    • Processes payment for caterers, locations, speaker and travel reimbursements
    • Plans bus trips once or twice a year for professors and their students to various places
    • Handles publicity for events


  1. High school diploma is required
  2. Bachelor's Degree is preferred
  3. Five to eight years relevant work experience
  4. Experience in and educational setting preferred
  5. Excellent communication and interpersonal skills
  6. Excellent writing ability and organizational skills
  7. Solid computer skills with experience using Microsoft Word, Excel, and database software
  8. Ability to learn specialized software used at Lehigh such as Banner, CourseSite, and Drupal
  9. Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position

Special Considerations:

  • This is a 10 month position; having off approximately the second week of June through the second week of August



Grade and Hiring Minimum:
