Background on the Global Markets Team:

The hallmark of CHAI’s approach is simultaneous and intensive engagement on both the demand and supply sides of the market. On the demand side, CHAI’s country teams help governments scale up treatment programs, improve procurement and supply chain management.

The Global Markets Team (GMT) works to address supply-side barriers to access and foster the development of healthy marketplaces to ensure the sustainable supply of essential medicines. GMT works closely with drug and diagnostic manufacturers to lower prices, encourages the adoption of stringent quality standards, and facilitates the entry and uptake of new improved products.

The GMT plays the lead role in managing relationships with major pharmaceutical and diagnostics companies to shape their access to medicines policies and programs. The GMT also leads CHAI’s engagement with generic firms, assisting in the development of licensing agreements, product development agreements, and entry of generic products into new markets. 

GMT is seeking a highly qualified individual to fill the position of Program Coordinator. The role will involve building and managing relationships with a broad set of internal and external stakeholders and liaising with various CHAI teams to ensure smooth operations of the program and compliance with grant requirements. This role will require candidates to develop familiarity with all aspects of GMT’s programs, including funding, planning, and implementation. The Program Coordinator will also provide support to various GMT program managers and the Head of GMT to ensure effective implementation and monitoring of project activities.

Candidates must demonstrate an ability to assess issues, think creatively to resolve problems, and determine when to escalate to other team members. The Program Coordinator will need to possess analytical ability, excellent communication skills, exceptional diplomacy and tact, and organizational and project management skills. The candidate must be able to function independently and flexibly, operate effectively in an environment with a high level of ambiguity and uncertainty, and have a strong commitment to excellence and attention to detail. Preference for this person to be based on the East Coast of the US (Boston or NYC preferred), and the anticipated travel is 10-20%. 

  • Program Coordination
    • Develop and maintain effective processes to facilitate efficient operations of GMT
    • Organize, plan, and execute global conferences and meetings
    • Support with scheduling calls, recording and disseminating minutes, and tracking follow-ups
    • Coordinate communications with multiple parties across multiple time zones
  • Team and Knowledge Management
    • Ensure knowledge flow, including the sharing and management of information and knowledge, across GMT and broader CHAI teams
    • Support development and upkeep of knowledge management platforms, including strengthening and maintaining resource libraries, final deliverable repositories, and contact lists
    • Develop and maintain training content and resources to support onboarding of new staff
    • Proactively develop and maintain the operational systems, processes, tools, policies, templates, and SOPs in support of GMT goals and serve as the first point of contact regarding administrative and operational questions
  • Grant Management
    • Develop and manage the calendar of donor report due dates, and budgeting and workplanning milestones, and liaise with GMT senior management and staff to ensure the timelines are followed
    • Support the production and content development of communication materials, including presentations, newsletters, case studies, internal briefing documents, and other communications
    • Provide support in managing GMT budgets
    • Support the production of donor reports (financial and narrative), project proposals, project memos, disbursement requests, and other communication materials
  • May include other activities to support program objectives in response to ad hoc requests

Qualifications

  • Commitment to CHAI’s values and mission
  • BA/BS with outstanding academic credentials
  • Minimum 1-3 years of work experience, preferably in administration or coordination role
  • Detail-oriented with strong organizational skills
  • Strong communication (written and oral)
  • Ability to communicate effectively, diplomatically, and tactfully with people of varied professional, cultural, and educational backgrounds, including a variety of internal and external stakeholders
  • Entrepreneurial mindset, including ability to work independently, self-motivate, and propose and implement new ideas
  • Ability to think strategically, handle ambiguity and uncertainty, problem-solve, multi-task and set priorities in a fast-paced, high-pressure, limited-structure, and multicultural environment
  • Proficiency in Microsoft Office especially Outlook
  • Willingness to work flexibly and travel domestically and internationally as needed
  • Ability to learn on the job quickly and absorb/synthesize a broad range of information
