Position description

GlobalConnect (GC), a division within Meridian International Center, as a partner of the Department of State’s Washington Foreign Press Center (FPC), assists in administering the logistical and financial components of the Center’s press tours primarily in the United States and some international travel. GC assists in the planning, execution, and quality assurance of large, international delegations of media representatives with a thematic focus, in addition to smaller media co-operative productions in which TV crews of two to three travel with a U.S.-based producer to focus on issues related to their home countries.

The Travel Specialist is the key personnel in securing domestic and international air travel, ground transportation, and accommodations for participants in on-going and overlapping FPC projects, ensuring full compliance with USG travel regulations and accurate accounting of assigned project budgets. 

Essential Functions

Specific duties and responsibilities include, but are not limited to, the following:

  • Arrange domestic and multi-segment international travel for participants, including air, hotel, rail, per diem, accident and sickness insurance, and ground transportation, as needed;
  • Advise participants of international travel requirements such as visas, passports, immunizations, etc.;
  • Possess a strong understanding of travel trends and industry best practices
  • Maintain open channels of communication during each program with the USG contact(s), participants, and other consultants or contractors informing them of all significant developments;
  • Work effectively under the pressure of time constraints and the high visibility of this program; 
  • Receive, process, and verify all travel-related expenses and generate invoices;
  • Generate reports detailing expenses into project-specified subaccounts;
  • Coordinate government approval prior to incurring travel costs;
  • Monitor all fiscal and administrative matters related to project budgets ensuring fiscal responsibility through close supervision of project expenses and budget tracking; reconcile final accounting and prepare final budget for invoicing;
  • Review cost sheets on a monthly basis, including G&A expenses, confirming that the entered budget is the client-approved budget, that month-to-date expenditures are accurate and match project records, and that expenditures are within budget;
  • Report cost sheet discrepancies and request corrections (reallocations) to Meridian finance team, as needed;
  • Ensure cost share commitments are appropriately documented.

Qualifications

·Bachelor’s Degree and at least four (4) years or HS Diploma and at least six (6) years of progressively responsible experience working on a travel team supporting Governmental agencies or in a role with significant responsibility for extensive international and domestic travel arrangements;

·Experience with tracking expenses, analyzing travel information, and maintaining vendor relationships; 

Knowledge, Skills, and Abilities

·Thorough understanding of Fly America Act and other USG travel regulations

·Superb communication skills and attention to detail; creative problem solver;

·Proficient with Microsoft Excel, Word, and Outlook;

·Able to multi-task and work on multiple projects and trip requests simultaneously; 

·Ensuring timely responses to multiple inquires across various projects;

·Customer focused, while seeking efficient travel solutions, within federal guidelines for airlines, seat class, and hotels;

·Interest in working with participants from diverse background and cultures.

This position is classified FLSA non-exempt.
