Position description

Undersea Strategic Systems Analysis Group (USSAG) provides multiple organizations within the Department of Defense with timely and objective assessments and recommendations that integrate technical, operational, programmatic, policy and strategy analysis.  We focus on key clients in the undersea community including Navy’s Strategic Systems Programs (SSP), Chief of Naval Operations Staff, and NAVSEA program managers for the COLUMBIA Class SSBNs and in service submarines.  We work to provide integrated solutions based on information and communications throughout the chain of command to ensure clear and consistent analysis and recommendations that are aligned to strategic and leadership goals while still being executable by the working level technical communities.

The Group Administrative Assistant supports general administrative processes, client meetings, contract progress reporting, and facilitates the functioning of the Group.  Reports directly to the Group Leader, and works with the Division Director and Division Administrative Assistant when required.

• Manage Group Leader’s schedule and provide inputs from the Group to the Division Calendar
• Assist in office communication and coordination
• Arrange meetings, video teleconferences, and other gatherings as backup to the corporate meeting coordinator
• Provide logistics support for meetings of government employees sponsored by USSAG and held in SPA spaces
• Maintain electronic files, databases, and serial numbers
• Order special supplies and arrange for maintenance of office equipment as needed
• Assist with visitor and client arrivals and departures
• Attend and support Division and Group Staff Meetings
• May audit classified hard drives, coordinate classified material handling and preparations for classified meetings
• Respond to requests for information concerning Group issues
• Maintain and organize correspondence and work product information via electronic and other media
• Maintain contract files, Personnel Book and Division organizational chart
• Provide on-boarding and off-boarding support for Group’s personnel
• Help prepare presentations, technical reports and contract progress report documents as needed
• Maintains confidentiality in all aspects of company business 
• Performs other duties as assigned



• High School Diploma Required
• 3-5 years of experience in administrative support
• Proficiency in Microsoft Office Programs, including Word, Excel and PowerPoint
• Superior proof reading and editing skills 
• Analytical skills to conduct basic research, analyze data and prepare recommendations
• Strong time management skills
• Self-starter, able to balance multiple tasks and maintain momentum
• Ability to communicate effectively with employees at all levels
• Eligible for Secret or Top Secret clearance which requires a US Citizenship

Desired Qualifications:
• Having or pursuing an Associates or Bachelor Degree is a plus
• Pursuing education related to Communications, Economics, Political Science or International Relations is a plus
• Eligible for Secret or Top Secret clearance
• Experience working with spreadsheets is a plus
