Position description

The Grants Program Associate will work directly with the Grants Program Manager and Grants Program Officer to assist in the implementation of Access Now’s grassroots digital rights grant-making program. This role will serve as an initial point-of-contact with grantees, and will be responsible for maintaining a comprehensive grants management database along with driving communications with grantees, and supporting them in completing grant requirements. The Grants Program Associate will assist in streamlining processes to monitor all phases of the grant-making process and grantees’ completion of requirements, ensuring that all steps are properly tracked, documented and recorded. This includes developing and maintaining relationships with various internal departments as well as external grantees.

Our policy, advocacy, technology, grants, and operations teams have staff presences in Europe, Latin America, the Middle East/North Africa (MENA), North America, and Asia/Pacific.

What You Will Do:

  • Be a first point of contact for grantees and grant applicants
  • Complete and document each step of the due diligence process for grants, identifying any necessary follow up for the program officer
  • Contribute to the creation of grant dockets through drafting write ups and collecting data on the status of the grant-making to date
  • Draft award letters and communicate awards to grantees, track post-award compliance by assembling all completed and signed documents, transmitting these documents to the appropriate staff, recording critical dates and payments, and gathering information from grantees during the lifecycle of the grant
  • Serve as the grants database administrator for coordinating maintenance of templates, fields, searches, reports, user accounts, forms, and coding
  • Implement and maintain coding and other M&E tools within the grants database
  • Create grant statistical reports and conduct data analysis in response to requests from internal and external constituents, including updates to Access Now website
  • Identify opportunities to feature grantees and the grants program on the Access Now website, write blog posts, and connect grantees with communications staff
  • Be on call to process emergency grants as needed
  • Send monthly reporting reminders to grantees
  • Share regular grants program and organizational communications with grantees
  • Receive and review grantee financial reports and provide initial assessments to internal Grants Manager / Program Officer

You Should Have:

  • Strong project management skills including exceptional organizational skills
  • Commitment to Access Now’s program areas and mission and to human rights and social justice more broadly
  • Ability and desire to carry out quality self-directed work and problem-solving with regard to implementing grant-making and administrative processes
  • Excellent verbal and written communication skills and experience successfully collaborating across distances using communications technology
  • Characteristics of a self-guided, creative, meticulous, and motivated individual
  • Comfort with ambiguity, competing demands, and the ability to work through issues in a changing environment
  • Minimum 2 years project management experience
  • Familiarity with not-for-profit financial reporting and financial controls
  • Experience in creating, tracking and forecasting budgets and related reporting
  • Understanding of and ability to design internal controls and processes to meet the needs of a diverse and global range of stakeholders
  • Patience, flexibility, humility, and empathy in your professional interactions

Great to Have:

  • Experience working on a grant-making program
  • Strong knowledge of database management and direct experience with software (some knowledge of Fluxx strongly desired)
  • Experience working with and supporting grassroots organizations

 Location and Commitment:

This is a full time position, ideally based in New York or Washington, DC. Other locations with Access Now offices may be considered for the right candidate.
