Position description

The role of the Executive Assistant is to ensure a highly effective and efficient office of the Chief Operating Officer (COO), and to represent the executive, both internally and externally, in a manner that corresponds to the professional nature of the office. As the Executive Assistant to the COO, you will be the primary support on everything operational and administrative.

 

You will enjoy high levels of responsibility and serve as a sounding board to the COO and those who work closely with her. Above all else, organization, work ethic, exemplary oral and written communication skills, ability to multi-task and judgment are key. The ideal candidate will be a quick study, a fast thinker, a strong writer, a self-starter, and a problem-solver who thrives in a dynamic environment and is always thinking five steps ahead.

 

What you will do:

  • Provide a wide range of operational and administrative support and assistance on other related tasks and projects, as required

  • Manage an ever-changing calendar, including vetting and prioritizing meeting requests and coordinating conference calls, interviews, meetings, and complex travel bookings

  • Prepare the COO for meetings, including, but not limited to writing briefs and sourcing information

  • Prepare the COO for conference and speaking engagements including, but not limited to, producing and handling talking points for interviews, speech preparation, research, and coordination with hosts and travel vendors

  • Plan events including, but not limited to, town halls, lunches, dinners and social gatherings

  • Handle a heavy volume of requests from internal and external stakeholders including, but not limited to, answering inquiries, resolving problems, and making appropriate referrals

  • Develop and maintain strong relationships with key contacts of various levels within and outside of the company

  • Prepare monthly expense reports

  • Occasionally support in activities that exist at the intersection of work and personal

  • Act as a sounding board to the COO and keep the executive well informed

Qualifications:

  • Bachelor’s degree

  • Minimum 2 years of industry experience, providing administrative support for a senior executive
