Position Title: Assistant Director for Activities and Programming  Term: Summer 2019


Dates: June 19, 2019 - July 28, 2019 (possible extension to August 11th)

General Statement of Purpose and Duties: The position will assist the Assistant Director for Residence Life in administering and supporting all residential and co-curricular components for summer programs organized through Summerfuel at Tufts and in collaboration with Tufts University pre college summer programs. These programs may include:

  • Summerfuel Pre College Program (PC) (6/30-7/16)
  • Summerfuel College Admissions Edge (CAE) (6/30-7/26)
  • Tufts University’s The College Experience program (TCE) (6/30-8/9)
  • Tufts University’s Summer Research (6/30-8/9)
  • Tufts University’s Leaders for Social Change program (LSC) (7/7 – 7/19)
  • Tufts University’s: SMFA (7/7-7/26)
  • Tufts University’s Engineering (7/14-7/26)
  • Tufts University’s: Programming 97/14-8/2)
  • Tufts University’s: International Relations Program (7/21-8/2)

The Assistant Director for Activities and Programming serves on the Executive Leadership team as part of the Summerfuel Residential Staff Cohort. The Assistant Director’s primary role is to assist the Assistant Director of Residence Life with facilitating the successful daily operations of the residential and co-curricular components of the various programs for all students attending one of the Summerfuel academic programs or one of the Tufts University academic programs. They are responsible for the development of all activities, events, and excursions.

Reports to: The Director of Summerfuel at Tufts

Principal Duties and Responsibilities:

Supervision, Training and Development

  1. Supervise, train, guide, support, evaluate and collaborate with Summerfuel Head of House professional staff
  2. Organize and lead Head of House (HoH), Resident Advisor (RA) and student orientation training sessions
  3. Participate in pre-program planning, senior staff orientation, RA Orientation and program set-up/closing needs
  4. Assist with the needs of all opening and closing days
  5. Mentor and coach Head of Houses (HoHs) and Residential Advisor staff regarding event planning and community living
  6. Organize staff development activities and social networking opportunities throughout the summer
  7. Other duties as assigned by the Director


Administration

  1. Confirm itineraries, transportation and staffing for all off campus excursions tours; chaperone as needed
  2. Assist with the development and implementation of a master Events Calendar for all programs
  3. Inventory, assess and acquire all equipment and supplies needed for co-curricular programming, athletics, crafts, etc..
  4. Assist with organizing residential and co-curricular programming awards of excellence for closing banquets and festivities
  5. Assist with coordinating external vendor agreements, ticket reservations, and travel needs for all co-curricular programming events
  6. Assist Head of Houses and RA staff with any roommate conflicts or student behavioral concerns
  7. Review all incident/behavioral reports and building maintenance concerns in consultation with Assistant Director of Residence Life
  8. Assist Director with the distribution of Nightly Insider as a communications tool for Summerfuel students

Leadership, Advisement and Student Safety & Well-being

  1. Mentor and facilitate with RA staff lunch socials, afternoon activities, evening events, late night events and weekend excursions
  2. Lead community-wide programs and events
  3. Conduct residential building safety and condition walk throughs
  4. Address any building safety issues or concerns (ie..fire/emergency drills, safety checks, vandalism, etc..)
  5. Support RA staff during check-in hours and implementation of Quiet Hours
  6. Address basic medical issues and student healthcare concerns
  7. Serve in senior on-call rotational schedule
  8. Conduct open office hours for students to discuss residential, housing, activity, excursion concerns or needs
  9. Assist RA staff with plans for weekly RA Community nights
  10. Attend and share information at all required staff meetings
  11. Work collaboratively with all Summerfuel staff and Tufts University staff, including Conference Services
  12. Serve as a shuttle driver for local excursions utilizing commercially rented 7 passenger mini-vans

Qualification: The successful candidate holds a Bachelor’s degree and is interested in pursing a future career in education, business management, or College Student Affairs. Ideal candidates will have demonstrated leadership experience within a residential college campus or summer camp environment, event planning and staff supervision.

The Assistant Director for Activities and Programming must:

  1. Communicate effectively orally, in writing, one on one, small groups and large groups
  2. Maintain a positive, loyal, working attitude and enthusiastic value for teamwork
  3. Demonstrate effective leadership, time management, organizational, group facilitation and critical thinking skills
  4. Serve as a mature role model academically, professionally and through social media
  5. Be proficient with Microsoft Word, Excel and Powerpoint
  6. Possess a valid Driver’s License and feel comfortable driving a 7 passenger mini-van
  7. Be flexible and willing to work long hours in an intensive, but fun residential environment
  8. Be Adult First Aid and CPR certified prior to arrival for staff training.
