Position description

GoodWeave — a nonprofit organization founded in 1994 by Nobel laureate Kailash Satyarthi – is the leading global institution with a mission to end child labor, and forced and bonded labor, in global supply chains. GoodWeave has been pioneering and innovating for almost 25 years, primarily in the carpet sector, a market-based certification system that is transferrable to other sectors based on authenticity, proximity, and transparency to someday realize its vision of a world free of child labor. The GoodWeave System is based harnessing power of the market, cleaning up supply chains, creating educational opportunities for children, and improving working conditions. GoodWeave drives impact by bringing visibility to global supply chains, giving voice to informal and marginalized workers, providing assurance that certified products are free of child labor, and restoring childhood to vulnerable children so they can laugh, learn, and play.

Overview of the Position:


The Program Assistant maintains the organization’s FileMaker database, and provides administrative services for a 14 person staff. As part of the operations team, the Program Assistant helps ensure the smooth running of the office by updating calendars, procuring supplies, fielding general inquires and assisting with travel, events and other projects.


Specific responsibilities include:



  • Overall management of the organization’s database built on a FileMaker Pro platform, which includes adding new contacts, updating information, verifying data, etc.;
  • Pulling sophisticated reports from database based on often complex criteria;
  • Cleaning and sorting contact information for inclusion in print and electronic mailings;
  • Supporting fundraising activities by creating mailing lists, recording donations, and processing thank you letters in database;
  • Liaising with database developer to improve database usability;
  • Training new staff on database functionality, and existing staff on new database features;
  • Processing newsletter subscribes and unsubscribes; and
  • Supporting fundraising team on various individual giving projects.



  • Procuring and maintaining office supplies and equipment including technology resources such as computers, copiers, and printers in conjunction with technology consultant;
  • Supporting the development of a functional and comfortable office environment;
  • Responding to general inquiries;
  • Answering phones;
  • Opening mail, logging incoming payments;
  • Maintaining organization’s shared calendar;
  • Processing and coding invoices to support finance team;
  • Managing mail/freight/courier activity;
  • Assisting with staff travel as requested;
  • Supporting logistics for staff, board, donor and other events; and
  • Other administrative duties and ad hoc requests as needed.


Program Support

  • Preparing photos for the website;
  • Designing and creating graphics for documents and presentations;
  • Other projects and ad hoc requests as needed.

  • Strong background in database management with experience in FileMaker Pro preferred
  • Exceptional attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  • Ability to work independently in a fast-paced small office atmosphere with demonstrated ability to juggle multiple competing tasks and demands
  • Excellent written and oral communication skills
  • Proficiency with Microsoft Office applications, Outlook, and Adobe Creative Suite
