We are currently recruiting a Programs Coordinator to join our Programs team.

This is a remote, open-ended position, open to candidates based in the US.

About the Opportunity.

The Programs Coordinator supports our varied portfolio of work across the organization. The role requires a dynamic, motivated, and thoughtful individual with excellent relationship management, communication, and operational skills and superb judgment to support the Chief Program Officer in their day-to-day work and to enable the cohesive functioning of the Global Programs division.

The Programs Coordinator is proactive and takes the initiative to identify opportunities and problems and devise solutions. Bringing strong interpersonal skills to help implement those solutions with a strong sense of judgment, discretion, and tact. Able to work in a fast-paced office environment, across time zones, which will require flexible working hours to support our global programs.

This position has a sizable administrative component, making strong organizational skills and attention to detail essential.

The ideal candidate for this position will have a deep commitment to the humanitarian sector and the communities we serve and the ability to focus on details while prioritizing and completing multiple tasks in a skillful and timely fashion.

The Programs Team Coordinator is a kind contributor to an extraordinary team, contributing to collective problem solving as the organization grapples with complex challenges in high-risk settings.

Your responsibilities will be

  • Team Coordination and Cohesion – managing workflows including monitoring deliverables and deadlines
  • Organize, design and facilitate team meetings or events including materials, as needed
  • Facilitate and support annual planning across Programs, including creating, monitoring progress, and reporting of department goals and objectives
  • Develop and manage content on Programs SharePoint site, such as key documents, resources, team updates, and process guidance
  • Help Programs team manage and verify Budget vs Actuals in close collaboration with Finance teams
  • Steward processes to arrive at strategies, theories of change, team cohesion/value proposition in service of RI mission
  • Assist the CPO with the internal socialization and roll-out of new processes, strategies and initiatives

Qualifications

You will bring the following experience and skills.

  • Degree in related field or equivalent work experience providing project management and coordination support within a fast-paced demanding working environment.
  • Excellent relationship management and communications skills, working with diverse teams, located globally.
  • Excellent organizational abilities; able to manage multiple, complex projects/tasks, timelines, and resources simultaneously.
  • Adept at Microsoft Suite of tools and applications, particularly Excel, Power BI, and SharePoint, and an interest in AI skill building.
  • Flexible work style with the ability to work under tight deadlines and with shifting priorities; as required.
  • Strong writing and proofreading skills.
  • High level of professionalism with the ability to maintain sensitive and confidential information.
  • Track record of demonstrating sound judgment by making appropriate decisions and knowing when to take initiative.
  • Previous experience in communications, non-profit sector, operations and finance support a plus.
