Position Overview:

The coordinator will support the senior vice president (SVP) of the U.S.-India Business Council (USIBC) and assist the broader USIBC team in advancing council priorities. This position is responsible for ensuring smooth administrative operations and effective coordination with internal and external stakeholders, including senior business leaders and foreign dignitaries.

Responsibilities:

  • Answer and respond to all inquiries and communications directed to the SVP.
  • Delegate inquiries to directors and managers when appropriate.
  • Organize and maintain the SVP’s calendar and event schedule.
  • Prioritize the SVP’s schedule, organize meetings, prepare him for meetings via  backgrounders, and engage by telecom with USIBC members.
  • Exercise sound judgment when arranging the SVP’s schedule and act as the gatekeeper of his time and priorities.
  • Arrange the SVP’s ground and air travel, hotel accommodations, detailed itineraries, and briefing packages.
  • Collect receipts following each trip, prepare and file expense reports, and reconcile official charge accounts.
  • Process incoming and outgoing payments, manage the budget process, review contracts, and track financials, both open invoices and expenses.
  • Liaise with consultants in India on matters related to the India Corporation.
  • Administer department contracts with vendors, consultants, partnering organizations, and individuals, including coordinating with the Chamber’s legal advisers.
  • Book rooms and manage logistics for member meetings and council-wide events and programs.
  • Help prepare briefing memos for external meetings, including compiling biographies, handouts, and talking points.
  • Prepare and edit outgoing correspondence for content and grammar.

 

Qualifications

  • Bachelor’s degree and 1-2 years’ related work experience in international relations.
  • Experience with scheduling and coordinating events and briefings.
  • Ability to analyze and solve problems.
  • Effective project management, planning, and organizational skills.
  • Excellent verbal, written, and proofreading skills.
  • Able to meet time-sensitive deadlines, multitask, and work both independently and in a team environment.
  • Proficiency with Microsoft Office applications.
  • Flexibility to work overtime.

The salary range for this position is $45,760.00 to $55,000.00. The actual salary paid for this position will vary based on market data, an applicant’s qualifications, relevant degrees, certifications, and other factors. Our full-time employees are eligible for benefits, including health care, vision, dental, retirement, and paid leave.
