Position Type: Full-time, Salaried, Exempt

Location: Flexible (remote); Must be eligible to work in the U.S.

Salary: $65,425

Responsibilities & Duties

Over the last few years of CDP's 15-year history, growth has been exponential. CDP has consistently raised revenue to support its mission, strategy, education and innovation programs, and disaster funds. In 2024, CDP raised more than $43 million to help mobilize philanthropy to support equitable disaster recovery. CDP has built its strategic reserves in each of the past five years, building its organizational savings to more than $20 million. CDP's positioning and increased visibility bring a need for increased revenue to support CDP's mission, strategic plan and growth. Over the last 12 months, CDP’s staff count has risen by about 30%, with additional projected increases into 2025.

Reporting to the director of finance and operations, the finance and operations associate plays a critical role in supporting CDP’s mission and several important processes integral to CDP’s financial and operational function, including supporting payroll, accounting, travel, banking and other administrative tasks. This role requires cultivating cross-functional relationships and the flexibility to adapt to a growing organization's changing needs and priorities.

As a fully remote workforce, CDP prioritizes employee engagement and relationship-building in service of a collaborative culture rooted in equity. To this end, in-person team retreats are scheduled throughout the year in different regions of the U.S. This role will be expected to attend 2-3 retreats per year, which average 3-5 days of travel each.

Primary responsibilities include:

Payroll processing

  • Collect and verify staff timesheets in support of the bi-weekly payroll process.
  • Enter work and leave hours in the payroll processing system.
  • Run routine payroll reports, verify the accuracy of payroll data and prepare bi-weekly payroll for review by the director of finance and operations.
  • Manage workflow and collaborate with HR and general staff to ensure payroll deadlines are met.

Accounting support

  • Review and research accounts payable invoices, expense reimbursement requests, per diem requests, grant payment requests, credit card charges and other cash disbursement items to ensure they are valid, approved, coded correctly and ready for entry into the general ledger system.
  • Prepare, review, enter and send accounts receivable invoices to customers and donors.
  • Use the general ledger system to research, report and resolve accounts payable, accounts receivable and other accounting-related matters.
  • Run regular reports out of the general ledger, Excel and other platforms.

Banking and deposits

  • Monitor daily balances for various bank, investment and credit accounts, alerting appropriate team members of relevant transactions.
  • Enter authorized bank ACH, wire and transfer payments in online banking platforms.
  • Monitor and forward cash receipts payments received through the virtual mail provider.
  • Research, identify, endorse, scan, log and deposit all incoming check and cash payments.
  • Download and save monthly bank, investment and credit statements.
  • Forward completed bank reconciliations to appropriate parties for approval, saving signed copies.

Month-end close, year-end close and audit support

  • Work closely with the finance team to maintain and manage detailed period-end closing processes, checklists and schedules to ensure timely and accurate month-end close and interim and year-end reporting.
  • Support year-end close process and audit preparation.
  • Assist with audit schedules, document requests, field work, and other audit and compliance-related matters.

Other duties and responsibilities

  • Support the documentation of standard operating procedures and workflow processes for all job duties.
  • Work closely with finance, operations and the broader CDP team to implement technology, integration, workflow and other efficiencies.
  • Collaborate with finance team and the broader team members to help implement an accounting intranet and other internal and external systems.
  • Organize and maintain accounting files.
  • Make travel and meeting reservations and arrangements for internal and external parties.
  • Other duties as required to support the finance and operations team.
  • Serve on committees, panels and task forces at CDP as appropriate and as available.

This position reports to the director of finance and operations but works in service of the whole organization.

Required qualifications

  • ≥3 years of relevant administrative or accounting experience, preferably in a nonprofit setting.
  • Ability to work effectively both independently and within a team.
  • Demonstrated ability to multi-task, including managing projects simultaneously.
  • Demonstrated ability to successfully exercise judgment within established guidelines.
  • Strong interpersonal and communication skills.
  • Excellent organization, problem-solving and follow-through skills.
  • Deep experience and passion for technology and automation.
  • Excellent MS Office skills, especially in Word, Excel and Outlook.
