Position description
Program Administration:
- Provide administrative support for federation programs and awards including data entry, maintaining files, creating writable forms, distributing correspondence, preparing entries for judging, administering judging, creating region award materials, and generating reports.
- Assist the administration of the online Live Your Dream Award application process including planning, processing, tracking, and communicating with applicants, clubs, and SIAHQ judges.
- Monitor, test, and troubleshoot the online application portal system.
- Secure translation for all program department materials, including communicating with translators, formatting documents, and integrating translated content into various platforms, systems and documents, maintaining the translation records.
- Maintain all filing systems while maintaining confidentiality and archival schedule.
- Coordinate Soroptimist Club Grant application process, including receipt of applications, translation of applications and award letters, track and follow up with contracts, and fund disbursement.
- Maintain all program procedures and update as needed.
- Provide administrative support for SI initiatives including compiling information for reports, responding to requests for program information, supporting SI advocacy efforts, and supporting attendance at UN meetings
- Manage Friendship Links directory and Grants of Friendship process.
- Recommend improvements to all program administration and materials.
- Create new materials for programs as needed, including presentations and handouts.
- Design and maintain online forms.
Communication
- Serve as first contact for member and non-member program issues, including application system support for users.
- Post program materials on the SIA website, ensuring materials in all federation languages are updated in a timely manner.
- Maintain and manage updates to all Program Resources pages on the SIA website, including the Live Your Dream Awards and Dream It, Be It landing pages.
- Maintain the region program chair, Live Your Dream Award region chair, and Dream It, Be It region chair web pages.
- Format and send all program-related blast emails.
Research/Writing
- Provide research, analysis, and writing support for all program initiatives and KPIs.
- Monitor the news cycle and international trends impacting women and girls.
ADDITIONAL DUTIES:
- Model and promote a culture that reflects SIA’s guiding principles.
- Participate in program planning including identifying new tactics to increase the effectiveness of federation programs.
- Attend and participate in Soroptimist meetings as requested.
- Other duties as assigned.
EDUCATION/SKILL REQUIREMENTS:
Required Skills:
- Degree in social sciences or related field.
- Internship and/or paid experience in a similar capacity.
- Strong organizational and time management skills.
- Ability to produce high-quality, detail-oriented work in a fast paced, high performing environment.
- Ability to work on assigned tasks independently and collaboratively.
- Proven research, analytical and report writing skills.
- Attention to detail.
- Strong written and oral communication skills.
- Strong interpersonal skills, maturity, and good judgment.
- Friendly, can-do attitude to support stakeholders.
- Passion for the Soroptimist mission and women’s issues.
- Enthusiasm for volunteerism and global service work.
- Expertise in MS Office, data entry, correspondence, internet research and Adobe.
- Remote work experience or comfort.
Basic proficiency with web tools to make content updates.
Preferred:
- Experience supporting or working with cross-cultural teams
- Ability to travel as needed.
