In this role, you’ll keep our daily operations on track, supporting the FO Management Team, and ensuring our strategic ambitions come to life through engaging with section directors and teams across the Department. From shaping Balanced Scorecards and reporting, to supporting necessary administrative tasks, you’ll help turn big ideas into measurable results.
You’ll be a trusted partner to the Executive Director of Field Operations, working hand-in-hand to support department directors and section leaders on agreed organisational development, change processes, internal communications, and effective ways of working. What you will do:
- Responsible for support to FO Management Team, including tracking follow-up of decisions and ensuring efficient working methods, and scheduling meetings and Agenda Item List.
- Support and facilitate delegated authority from the Director Operational Governance and Support FO on annual strategy planning for the FO HO sections, this includes developing of the Balanced Scorecard and relevant workplans, monitoring implementation and report against these.
- Coordinate contributions from FO sections and Regional Team and quality assure reports for the Senior Management Group and the Board of Directors such as strategy reporting and annual reports from the Board.
- Provide support to Crisis Management Teams, and other ad-hoc project groups internally in the Department or cross-Departmental as assigned.
- Focal point for and support learning exercises in FO Head Office, through coordinating updates to management responses to relevant After-Action Reviews, Emergency Response Reviews, Evaluations and Audits, in relation to the Department stocktake exercises.
- Support FO’s Senior Adviser with advocacy and analysis including supporting briefing papers, presentations and talking points and other written material for internal and external use, and support in time of crisis management and emergency response including on crisis activation and priority crisis, across the Department.
- Oversight of FO owned governing documents and managing the department Sharepoint sites.
- Lead on specific initiatives and projects, as delegated by the FO Director and the Line Manager
- Responsible for coordinating and provide administrative support to the Triannual review system between Head Office, Regions and Country Offices and help produce relevant overviews, coordinate meeting points and documents to facilitate information sharing and decision making.
- Upon need lead the planning of department retreats and global seminars organised by FO, often in collaboration with the Administration coordinator positions elsewhere in FO.
- Compliance and adherence to NRC policies, guidance and procedures of PCM and Grants Management, and a specific responsibility for the functions policies and procedures.
- Support the risk monitoring process in the Department in collaboration with the Executive Director and relevant Section Directors, including facilitating departmental reporting on enterprise risks, this also includes supporting risk escalation procedures and processing.
- When need arises, take on gap-filling tasks supporting Country or Regional Teams.
- Participate on behalf of the Section or Department Director in cross-departmental working groups upon request.

What you will bring:
- University degree or equivalent qualification, preferably at master’s degree level
- 4 years of experience in jobs with similar responsibilities
- Excellent organisational skills
- High degree of service-mindedness
- Ability to communicate effectively with others verbally and in writing
- Analytical skills
- Fluency in English both written and verbal. Knowledge of German, Spanish, French or Arabic is an asset.
- Ability to work independently.
- Enjoys shifting between developing things individually and contributing to work of others.
- Excellent oral and written communication skills
- Proven interpersonal skills and high degree of flexibility
- Experience from strategy development, planning and administration
- Experience in supporting senior level management teams
What we offer:
- Duty station: Oslo, Norway.
- Contract: Permanent.
- Travel: up to 10%.
- Salary/benefits: grade 8 on NRC’s Resident salary scale, with accompanying terms and conditions.
