Position description

AFS-USA is part of a worldwide network of AFS partner organizations that work together to advance global education and foster meaningful connections across cultures. As the network’s largest partner, AFS-USA works to increase the global competency of U.S. citizens by providing a variety of international and intercultural learning experiences to individuals, families, schools, and communities. We are proud of our staff from our national office in New York City as well as home offices across the county, who collaborate with our more than 2,000 AFS-USA Volunteers to deliver high quality programs and global education resources. These include immersion-based study abroad experiences in over 40 countries worldwide; opportunities to host foreign AFS exchange students; and global learning workshops and curricula for educators, schools and businesses.

The Sending Travel Specialist oversees day-to-day travel and logistics for AFS-USA’s Study Abroad participants, including arrivals, departures, and early returns. This role also supports seasonal staff management, volunteer coordination, and ensures smooth travel experiences for participants and families.

DUTIES/RESPONSIBILITIES:

      • Coordinate international and domestic travel for study abroad participants
      • Liaise with internal teams and travel agencies to ensure accurate bookings and compliance with policies
      • Prepare travel notifications, bulletins, and day-of-travel instructions
      • Recruit, train, and supervise seasonal staff and transit volunteers
      • Manage airport meet-and-greet services and provide on-call support during peak travel periods
      • Organize webinars and training for participants, volunteers, and chaperones
      • Handle travel waivers, program releases, and early return logistics
      • Maintain travel databases and reconcile vendor accounts.

Qualifications

      • BA/BS in Project Management, Event Planning, International Relations, or related field
      • 2+ years of project/event coordination experience
      • Supervisory experience preferred
      • Knowledge of intercultural exchange programs or international travel
      • Strong organizational and communication skills
      • Driver’s license required

WORK EXPECTATIONS:

      • AFS USA work hours are generally from 10:00 am – 6:00 pm, Monday through Friday EST; however, given the nature of this position and flexibility for evenings, weekends, and travel during peak seasons (Jan–Mar, Jun–Sep).
      • Travel required to NYC airports and other occasional U.S. events.

SALARY:

  • $26.28 per hour plus benefits including: medical, dental, vision, and PTO
