Position description

Japan Society seeks a dynamic and highly organized Marketing Manager to join our fast-paced Marketing & Communications team. Reporting to the Director of Media & Marketing, the Marketing Manager is a strategic and hands-on professional who serves as a key collaborator and project manager for the department.

This role is a versatile marketing generalist responsible for developing and executing comprehensive digital marketing campaigns. This person will also support the Director by coordinating the daily workflows of the department and acting as the central project lead, working collaboratively with the Website Manager and Graphic Designer. The ideal candidate is an expert in digital marketing (email, social, ads), an effective project coordinator, and a data-driven strategist passionate about driving audience growth, engagement, and revenue for Japan Society.

Duties & Responsibilities

Project Management & Workflow Coordination (30%)

      • Act as the central hub for departmental project management: manage the intake, trafficking, and prioritization of requests from internal departments (Development, Programs, etc.) to ensure timely execution.
      • Work collaboratively with the Website Manager and Graphic Designer to ensure daily workflows are aligned, priorities are clear, and projects are on track.
      • Support the Director in managing and optimizing project management systems.
      • Serve as a key backup for team members to ensure daily operational continuity for essential tasks.

Digital Marketing & Email Strategy (30%)

      • Develop and execute the strategy for all email marketing, including managing the email calendar, list segmentation, and A/B testing to optimize performance.
      • Oversee the creation of bi-weekly and dedicated emails for all departments, as well as goal-driven campaigns (member acquisition, annual fund, special events).
      • Provide expert copywriting and copyediting for all digital communications, working closely with the Graphic Designer to ensure all content is high-quality and on-brand.
      • Maintain an organized and transparent system for managing content and institutional goals.

Social Media & Advertising Strategy (25%)

      • Manage the organic social media strategy across all platforms (X, LinkedIn, Instagram, Facebook), balancing promotional content with creative, mission-driven content to drive engagement.
      • Manage and optimize the paid social advertising budget, creating, monitoring, and reporting on targeted campaigns to drive ticket sales, conversions, and institutional goals.
      • Oversee the development of organic content, including filming and editing short-form video for events and programs.
      • Monitor trends, new platforms, and algorithm changes, providing recommendations to the Director to keep our strategy current.

Analytics, Partnerships & Vendor Management (15%)

      • Provide comprehensive analysis and regular reports on KPIs across all channels (email, social, web) to the Director and other stakeholders.
      • Manage and cultivate relationships with media partners, collaborators, and influencers to drive traffic and build awareness.
      • Serve as the primary liaison for key marketing vendors and software platforms (e.g., MailChimp, Meltwater, social media ad platforms), ensuring contracts, payments, and support are optimized.

Qualifications & Requirements

Essential:

      • 3-5 years of hands-on experience in a digital marketing or communications role.
      • At least 1 year of experience in a supervisory, team lead, or senior-level capacity (e.g., managing an intern, leading a major project, or acting as a "Senior" specialist).
      • Proven, hands-on experience managing email marketing campaigns, including list segmentation, automation, and analytics (MailChimp strongly preferred).
      • Demonstrable experience managing both organic and paid social media campaigns (Meta, X, LinkedIn).
      • Impeccable copywriting and copyediting skills. You must be able to write compelling copy and adapt the brand voice for different platforms.
      • Exceptional organizational skills. You need a proven system for managing multiple projects and deadlines from intake to completion.
      • Strong ability to track and analyze data (e.g., email open rates, social engagement, web traffic) and create reports that explain what the numbers mean.
      • A collaborative, solution-oriented, and proactive person. You must be able to thrive in a fast-paced environment and work well with others.
      • Bachelor’s degree in Marketing, Communications, Arts, or a related field is preferred. An Associate's degree in an applicable discipline (such as arts, design, or marketing) combined with equivalent professional experience will be strongly considered.
      • Ability to work onsite at Japan Society's headquarters in New York City.
      • Authorization to work in the United States (note: Japan Society is not able to provide sponsorship for employment).

Preferred:

      • Experience in non-profit, arts, or cultural institutions.
      • A strong, demonstrated interest in Japanese art, culture, or international relations.
      • Basic skills in video/photo capture and editing (e.g., Adobe Creative Suite, CapCut).
      • Experience using project management software (e.g., Asana, Basecamp,Trello) and/or media monitoring tools (e.g., Meltwater).
      • Japanese Language Proficiency is a plus.
